The AIEB | What Is an AI Employee?
On this page
An AI employee is an AI you've trained to do specific jobs in your business. It does those jobs consistently, the same way every time, without being asked twice.
You train it, check its work and correct it when something's off.
A chat answers one question at a time and starts from zero the next day. An AI employee does real work in your business:
- It knows your business, from your voice and your offers to your clients and your rules.
- It works inside your apps, like your inbox, your calendar and your CRM.
- It can run on its own, on a schedule, without you asking.
- It gets better every time you correct it.
🪜 One employee, four levels
There isn't just one kind of AI employee. There are four levels, and each level adds one new ability to the one before it.
No level is better than another. Some jobs are perfect at Level 1. The goal is to match the right level to the job, not to always build the biggest one.
Compare the four levels in a table
| Level | AI employee | What's new | In one line |
|---|---|---|---|
| 1 | AI Contractor | A skill | Does the task. Doesn't know your business. |
| 2 | Trained AI Employee | Adds a brain | Knows your business and sounds like you. |
| 3 | Connected AI Employee | Adds connectors | Does the work inside your other apps. |
| 4 | Autonomous AI Employee | Adds a schedule | Runs on its own, without being asked. |
🔧 Level 1: The AI Contractor
Think of a really good contractor. They show up, do the job well and leave.
But they don't know your business. They don't know your brand voice, your clients or your products. They just know how to do the task you hired them for.
- What it has: a skill, which is a saved set of instructions for one job
- What it's missing: knowledge of your business
- Best for: tasks where context doesn't matter, like checking grammar or formatting data
- Real-life example: an email checker that fixes grammar and makes your messages clear and easy to read
- In Claude: a skill
- How it gets better: when a result is off, you update the skill's instructions so it's right next time
🧠 Level 2: The Trained AI Employee
Now give that contractor a desk and train them on your business. They learn your voice, your clients, your offers and your rules.
This is where it starts to feel like a real employee.
- What it has: a skill plus a brain, which is a project filled with your business knowledge
- What it's missing: access to your other apps
- Best for: anything that would be better if it knew everything about your business. At this level, context is key.
- Real-life example: a content writer that turns one video transcript into a newsletter and social posts in your exact voice
- In Claude: a skill inside a Claude Project
- How it gets better: when your business changes or it gets something wrong, you add or update the files in its brain
🔌 Level 3: The Connected AI Employee
This employee can get up from the desk. It can walk over to your other apps to update a Notion database, post in Slack or log notes in your CRM.
It knows its job, it knows your business, and now it can do the work where the work lives.
- What it has: a skill, a brain and connectors to your apps
- What it's missing: the ability to work without being asked
- Best for: work that has to land somewhere else
- Real-life example: a CFO employee that reads your numbers straight from your accounting app and answers money questions
- In Claude: a skill inside a project, with connectors turned on
- How it gets better: as you trust it more, you let it do more inside each app, like sending instead of just drafting
⏰ Level 4: The Autonomous AI Employee
This employee doesn't wait for you. It shows up every Monday morning, or at 5pm every day, and does the job on its own.
- What it has: everything, plus a schedule
- Best for: repeat work that's the same every time, like weekly reports, daily content or month-end tasks
- Real-life example: a chief of staff that checks your email, calendar and Slack every hour and keeps a live to-do dashboard up to date
- In Claude: a skill on a scheduled task, often with a brain and connectors too
- How it gets better: you review what it did each run and fine-tune its instructions, timing and brain
📈 It gets better over time
This is the biggest difference between an AI employee and a chat. Every correction you make sticks.
The habit is simple, and it's the same at every level:
- Check the work. Read what it made like you're about to send it to a client.
- Correct it. Tell it exactly what's wrong and what great looks like.
- Save the fix. Update the skill or the brain so it gets it right from now on.
Do that a few times and the tenth result is better than the first. When it can't answer something, that's not a failure. It's a sign to update the brain with the new answer.
🌱 How an AI employee grows
It's the same employee at every level, gaining one ability at a time:
- Start with a skill. That's your AI Contractor.
- Add a brain. Now it's a Trained AI Employee.
- Add connectors. Now it's a Connected AI Employee.
- Add a schedule. Now it's an Autonomous AI Employee.
Every AI employee starts as one simple skill.
🤝 Share AI employees with your team
An AI employee doesn't have to belong to just you. When you share its skills and projects, your whole team works from the same instructions and the same business knowledge, so everyone gets the same great results.
- Share a skill: on a Team or Enterprise plan, go to Customize, then Skills, click the … next to the skill, click Share and pick the people or groups. On a personal plan, download the skill file and send it to your teammate to upload.
- Share a project: on a Team or Enterprise plan, open the project, click Share and choose who can view it or edit it. Everyone you share it with gets the same brain.
Share what's working. When one person gets an AI employee right, the whole team should have it.
📖 Words that get mixed up
- Chat: you ask and it answers. Each new chat starts from zero, so you end up explaining yourself again.
- Artifact: a finished thing the AI makes for you, like a document, a dashboard or a small app. It's the output of the work.
- Agent: AI that can take steps on its own. An AI employee is an agent that's been trained on specific jobs and your business knowledge.
- An app you built: a tool, like an intake form or a cash register. The employee is the intelligence. The app is the infrastructure.
