The AIEB | Understanding Claude Projects
On this page
Claude Projects are the foundation of how we customize AI across our entire business.
A project is where an AI employee lives. It's a workspace for one part of your business, loaded with everything the AI needs to know to do that work well. We also call them workspaces.
Our entire C-suite runs inside Claude Projects. Each executive has its own project:
- Chief Executive Officer
- Chief Revenue Officer (Sales)
- Chief Finance Officer
- Chief Growth Officer (Marketing)
- Chief Customer Officer (Student Success)
- Chief Learning Officer (Curriculum)
- Chief Operations Officer
- Chief HR Officer
When our team needs help with sales, they work in the sales project. When they need help with money, they work in the finance project. Each one already knows its part of the business.
𧩠What a project brings together
A project brings together every part of an AI employee in one place.
Look at Level 2: the project adds business knowledge to a skill.
1. Instructions: the job description
Instructions are the rules for every chat in the project. They tell the AI who it is, who it's helping, how it should sound and what it should always or never do.
2. Business context: the brain
This is the most important part. It's the files you upload to the project, like your offers, your ideal client, your case studies and your best past work.
Your AI can only be as smart as what you feed it. No knowledge means generic answers. Rich knowledge means it feels like it works at your company.
3. Memory
Each project has its own memory, separate from the rest of your account. It remembers what you've worked on in that project, so you don't have to explain yourself again.
Use the pencil beside Memory to review or edit it.

4. Skills
Your skills come with you into every project. A skill on its own doesn't know your business. Run that same skill inside a project, and it uses everything the project knows.
Open the + menu in the composer, then choose Skills.
See where to find your skills
5. Connectors
Connectors let the project reach into your other apps for live information, like your inbox, your calendar or your accounting software. You set them up once for your account and turn them on in any chat.
6. Scheduled tasks
On supported paid plans, a project can also run recurring tasks for its job, like a weekly report every Monday morning.
Find Scheduled below Context and click its +. You may need to scroll below your files.

π Real-life examples
- A CFO project: loaded with your pricing, budgets and financial reports, and connected to your accounting app, so it can answer money questions in seconds.
- A marketing project: loaded with your brand voice, ideal client, case studies and your top 20 emails, so every post and email sounds like you.
- A chief of staff project: connected to your email, calendar and Slack, so it can tell you what needs your attention today.
- A sales project: loaded with your offers, objections and best sales calls, so it can prep you for every call.
π οΈ How to build your first project
The screenshots show recreated September 2026 interfaces. Click an image to enlarge it.
Step 1: Create the project
- Click Projects in the left sidebar.
- Click New project.
- Give it a clear name, like "Marketing" or "Sales," and a short description.
- Click Create project.
Step 2: Add your business context
- In the project, find the Context panel on the right.
- Click + and upload your files. You can also connect files from Google Drive.
Start with these files:
- About your business
- Your products, services and pricing
- Your ideal client
- Case studies and testimonials
- Examples of your best past work
Step 3: Write the instructions
Click the pencil beside Instructions and answer these questions in plain words:
- Who are you? For example, "You are our marketing director."
- Who are you helping?
- How should you sound?
- What should you always do?
- What should you never do?
When youβre done, click Save instructions.
Step 4: Start working inside it
- Start a new chat inside the project.
- Give it a real task and check the result.
If the job needs your apps: use connectors
Click +, hover over Connectors and turn on the ones you need.
Step 5: Correct it and update it
If something's off, tell it exactly what's wrong. If it's missing information, add it to Context so it's available next time.
π Keep your project fresh
- Uploaded files are snapshots. They don't update when the original file changes, so review your project every few months and swap in new versions.
- Don't dump everything in. A focused set of your best files beats 30 random ones.
- Show it good and bad examples. Upload an example of what great looks like next to what it got wrong, and it learns the difference fast.
- It's never quite done. The best projects get a little better every month.
βοΈ Project or skill?
- Put it in the project if it's a big set of knowledge or something that changes, like your offers, your clients or your case studies.
- Put it in a skill if it's a process that stays the same every time, like the five-part format of your newsletter.
Most skills work better inside a project, because that's where they get your business knowledge.
π€ Share projects with your team
When your team works from the same project, everyone gets the same great results.
- Open the project.
- Click Share.
- Add people by name or email.
- Choose Can view or Can edit.
- Click Share.
Sharing plans and permissions
- Sharing needs a Team or Enterprise plan. Personal plans can't share projects.
- Give edit access carefully. Anyone who can edit can change the instructions and files. We give each project one owner, and most people get view access.
- Projects can only be shared inside your company, not with people outside it.
π’ ChatGPT has projects too
Claude Projects are our go-to. But ChatGPT has projects with the same kind of setup: files, instructions and memory in one place.
- Click New project in the left sidebar to create one.
- ChatGPT projects can be shared on any plan, including Free.
If ChatGPT is your main tool, everything on this page still applies.
π§βπ» For advanced users: same idea, different setups
A Claude Project is one way to build a workspace for an AI employee. More advanced users take the same idea into other tools:
- Claude on your desktop can turn a folder on your computer into a project, with its own instructions, memory and scheduled tasks.
- Claude Code treats a folder as the project. A file called CLAUDE.md holds the instructions, and skills can live right inside the folder (how it works).
- Codex works the same way, with a file called AGENTS.md holding the instructions (how it works).
The tools change, but the idea stays the same: instructions, business knowledge and skills, all in one place for one job.
